Job Title: Senior Administrative Assistant
Job location:- Woodcliff Lake, NJ - 07677 
Duration: 12 Months

JOB DESCRIPTION: 
  • Support 2 Sr. Medical Directors and their direct staff in EVMS group.
  • Prepare expense reports in increasing complexity and volume
  • Provide travel arrangement also in increasing complexity and volume
  • Provide monthly/quarterly budget forecast for 8 cost centers
  • Hold monthly meetings with managers to discuss budgets/projects and project expenses
  • Perform Literature reviews
  • Designated Department Super user for contracts, and Healthcare provider reporting
  • Development of contracts in increasing complexity and volume
  • Data input for stat analysis
  • General Admin duties, such as answer phone, copy fax order supplies, arrange meetings, manage calendars
  • Open purchase orders (amount of purchase orders has increased substantially as the number of people in the department has grown)
  • Process all invoices for payment
  • Track invoices for accruals
  • DEPT HEAT SUPER USER- now needs to enter Physician contracts into a new computer system, need to enter AD board documents into computer system to track approvals and expenses
  • Expense Report Management for 6

QUALIFICATIONS:
  • A minimum of 4 years’ experience supporting executive level management.
  • Excellent written & oral communication skills
  • Responds to inquiries from internal and external personnel using proper judgment and initiative to ensure critical issues are handled appropriately.
  • Ability to present one's self in a professional manner, respect for confidentiality and ability to manage individual relationships with diplomacy required
  • Highly pro-active with the ability to plan and manage tasks and long term projects with minimum supervision
  • Ability to work in a fast paced environment and multitask is required; organized and able to prioritize work
  • Thorough understanding of standard PC applications (MS Word, PowerPoint, Excel & Lotus Notes, MS Excel)
  • Must be a self-starter with the ability to multi-task, work with a high level of initiative; possess excellent project planning and priority setting skills, as well as excellent organization, writing and interpersonal skills.
  • Initiative to identify, analyze and resolve schedule and other issues.
  • Strong attention to detail and accuracy
  • Strong proofreading, editing and reviewing skills are needed.
  • Seeking someone who is a team-player, committed and has a strong work ethic
  • Must be able to work independently, and possess problem solving skills.
  • Must be an “out of the box” thinker
